Website Terms
2. Using our website
You may use our website to find information, prepare for an event and access our booking services.
You must not misuse the website, introduce malicious software, attempt unauthorised access, impersonate another person or publish unlawful, abusive or misleading content.
We may restrict access where reasonably necessary to protect the website, its users or our services.
3. Website information and availability
We take reasonable care to keep information accurate and current. If you notice an error, please contact us.
Historical reports, results and previous event manuals may remain available for reference. Please check that you are using information for the correct event and year.
We may temporarily suspend the website for maintenance, security or circumstances outside our reasonable control. This does not remove our obligations relating to confirmed bookings.
4. Our content
Unless otherwise stated, website text, logos, photographs, maps and other materials belong to Canalrace C.I.C. or are used with permission.
You may view, download and print materials for personal use and event preparation. Please obtain permission before reproducing them commercially or suggesting that we endorse another organisation.
Any restrictions stated on third-party maps or materials also apply.
5. Booking platforms and external links
Event entries are normally processed through SiEntries. Its applicable platform and payment terms also apply to your use of that service.
We may link to external mapping, transport, accommodation and other websites. Those providers are responsible for their own services. Nothing in this section excludes responsibility that legally remains ours.
6. Privacy and cookies
Our Privacy Notice explains how we collect, use, retain and share personal information, including entry details, emergency contacts, results and relevant health information.
Our Cookie Notice explains our use of cookies and any choices available to you.
Marketing choices are separate from accepting these terms.
Event Terms
7. Your entry and event information
Before entering, please read:
- These terms.
- The event description and entry conditions.
- The event-specific cancellation and refund policy.
- The applicable race rules and mandatory kit requirements.
We will make the relevant booking conditions available before you commit to an entry.
Your booking is confirmed when we expressly confirm acceptance and receive any payment required. A ballot application, waiting-list registration or payment acknowledgement alone does not guarantee a place unless expressly stated otherwise.
The terms accepted when booking apply to your entry. Later runner instructions may clarify operational details and necessary safety arrangements, but will not remove your statutory rights or introduce materially different commercial terms without your agreement.
8. Eligibility and preparation
You must meet the minimum age and any other eligibility requirements published for your event.
You are responsible for preparing appropriately and assessing whether your fitness, health and experience are suitable for the challenge. Seek medical advice where appropriate.
You must provide accurate entry information and keep your contact details, emergency contact and relevant health information up to date.
If you have a disability, access requirement or other support need, please contact us before entering where possible so we can discuss reasonable adjustments and the practical requirements of the event.
9. Entering another participant
If you submit an entry for another adult, you must have their express permission to do so.
You must provide them with the applicable terms, event information and Privacy Notice, and ensure they personally agree to participate. We may require their direct confirmation before accepting the entry.
10. Ballots, waiting lists and guaranteed places
Where an event uses a ballot, waiting list or guaranteed-place arrangement, the published conditions for that event and year apply.
You must answer eligibility questions honestly. Claims relating to volunteering, previous ballot applications or Canalslam participation may be checked against our records.
We may decline an application or withdraw an allocation obtained through materially false information. We will explain the reason and give you a reasonable opportunity to respond where practicable.
11. Fees and payment
The entry price, support category, included services and any compulsory charges will be shown before payment.
Optional extras will be identified separately. Their cancellation arrangements will be explained before purchase.
Changes to prices for future bookings do not alter the price of an already confirmed entry.
12. Support categories
Where offered, participants choose one of the following categories.
Canal Crew
You participate without a personal support crew and use the event support described in your booking information.
Bring Your Own Crew
You arrange your own personal support team, which must comply with the event’s crew rules and access restrictions.
MBCR 40
MBCR 40 has one entry category, with event support provided to all participants as described in its event information.
Food provision, drinks, kit-bag access and retirement transport vary by event and category. Check the arrangements for your booking and prepare to look after yourself between checkpoints.
A category change requires our written agreement and may depend on availability and an adjustment to the fee.
13. Risks and personal responsibility
Our events are demanding endurance challenges. Risks include fatigue, falls, uneven or slippery surfaces, darkness, adverse weather, road crossings, other towpath users and proximity to water.
You accept the inherent risks of participating and agree to take reasonable care of yourself and others.
This acknowledgement does not excuse negligence or remove any legal duty owed by the Organiser or others.
14. Medical and emergency arrangements
Medical and first-aid provision is event-specific and will be described in the relevant event information. Do not assume continuous medical coverage or immediate vehicle access along the route.
You must carry the required communication equipment, report relevant concerns and follow reasonable safety instructions from event officials and medical personnel.
In an emergency, contact the emergency services where necessary and notify Race HQ as soon as it is safe to do so.
We may require you to stop where reasonably necessary to protect your safety or the safety of others. We may arrange emergency assistance where appropriate, using relevant information in accordance with our Privacy Notice.
15. Route, navigation and mandatory kit
You must complete the designated course on foot and follow the official route, including notified diversions.
You are responsible for navigation and must carry the route, maps and equipment required by your event. Website overview illustrations are not a substitute for official navigation materials.
Mandatory kit must be carried as specified. We may conduct reasonable kit checks and prevent you from starting or continuing until a safety-related omission is resolved.
16. Race conduct and checkpoint rules
You must:
- Follow reasonable instructions from event officials.
- Observe checkpoint closing times, the overall time limit and any maximum stopping periods.
- Display your race number and ensure your passage is recorded as instructed.
- Complete the emergency information requested on your race number.
- Treat volunteers, participants, residents and other route users respectfully.
- Follow road safety rules and check that crossings are safe.
- Avoid littering, damaging property or obstructing public access.
- Remain sufficiently aware of your surroundings to hear warnings and instructions.
Cheating, unauthorised assistance, threatening behaviour or serious safety breaches may result in removal or disqualification.
17. Crews, buddies and vehicles
Support crews and buddy runners must follow the event-specific rules, including permitted access points, joining locations, parking restrictions and limits on pacing or carrying supplies.
Participants must give their crew and buddies the relevant guidance.
Travel in a moving vehicle normally ends competitive participation unless expressly authorised under the event rules. Any safety evacuation must be reported to Race HQ, which will explain its effect on your race status.
Emergency assistance must never be delayed to protect a race result.
18. Retirement and missing participants
If you retire, you must notify Race HQ directly and promptly, even if you have already told a checkpoint volunteer or your own crew.
Follow the published retirement procedure and remain contactable until your retirement has been acknowledged.
Where retirement transport is included, its availability and destination are governed by the event arrangements. It may involve waiting and is not a substitute for emergency medical transport.
19. Kit bags and belongings
Follow the event’s bag limits, labelling instructions and prohibited-item rules. Secure any permitted sharp items safely and avoid placing unnecessary valuables in transported bags.
We will take reasonable care of bags accepted into our custody. You remain responsible for belongings kept with you or your crew.
We do not exclude responsibility for loss or damage where we are legally liable.
20. Withdrawing, refunds, transfers and deferrals
If you cannot take part, email hello@canalrace.org.uk as soon as possible.
The event-specific withdrawal and refund policy supplied before booking applies to voluntary cancellations. Any deadlines, refund percentages and treatment of optional extras will be stated in that policy.
Transfers, substitutions and deferrals require our written approval and are available only where expressly offered. Do not sell, lend or give your race number to another person.
There is normally no statutory 14-day cooling-off right for a leisure event booked for a specific date. Any contractual cancellation rights and other statutory rights remain unaffected.
21. Event changes, postponement and cancellation
We may make reasonable changes where necessary because of safety concerns, weather, flooding, access restrictions, infrastructure works, legal requirements or other circumstances affecting delivery.
We will communicate significant changes as soon as reasonably practicable.
If we cancel an event before it starts, we will offer a refund of the event entry fee and any compulsory booking charges paid to us, or an alternative entry if you prefer.
If we postpone the event or make a material change to its date, location or nature, we will explain the change and offer you the choice of accepting it or cancelling for a refund.
If an event must be stopped after it begins, we will prioritise safety and explain the available arrangements. Any refund will be assessed fairly, taking account of the services provided and your legal rights.
Circumstances beyond our reasonable control do not automatically remove refund rights.
Please consider flexible travel and accommodation arrangements. Responsibility for associated losses depends on the circumstances and applicable law; we do not exclude liability where it cannot lawfully be excluded.
22. Refusal of entry and disqualification
We may refuse, cancel or suspend an entry on reasonable grounds, including:
- Failure to meet published eligibility requirements.
- Non-payment or materially false entry information.
- A serious breach of event rules.
- Abusive, discriminatory, threatening or unsafe behaviour.
- A substantiated safety concern that cannot reasonably be addressed.
We will act proportionately, explain our decision and provide a reasonable opportunity to respond where practicable. Immediate action may be necessary during the event for safety.
Refund consequences will be assessed under the applicable policy and law, rather than treated as automatic forfeiture in every case.
23. Photography, filming and results
Photography and filming may take place during events. Our Privacy Notice explains their purposes, lawful basis, publication arrangements and your rights.
Please contact us before the event if you have concerns about appearing in identifiable images. We will explain available arrangements and any practical limits.
We may publish event results and achievement records as explained in the Privacy Notice.
Accepting these terms does not waive your privacy or data-protection rights.
24. Our responsibilities and liability
We will provide our services with reasonable care and skill.
We are responsible for loss or damage that is a foreseeable result of our breach of contract or failure to use reasonable care and skill.
Nothing in these terms excludes or limits liability for:
- Death or personal injury caused by negligence.
- Fraud or fraudulent misrepresentation.
- Any other liability that cannot lawfully be excluded or limited.
Nothing in these terms removes your statutory consumer rights.
25. Complaints and disputes
Please send complaints to hello@canalrace.org.uk, including your name, event and a description of the issue.
We aim to acknowledge complaints within seven days and provide a substantive response within 28 days. If more time is needed, we will explain why.
We may agree to use mediation or another suitable dispute-resolution process. This does not prevent either party from exercising legal rights or bringing a court claim.
26. Changes to these terms
We may update these terms for future website use and bookings, showing the revised date.
Changes will not retrospectively remove rights attached to an existing booking. Necessary event changes will be handled under section 21.
27. General provisions
These terms and the event-specific conditions supplied before booking form your agreement with us. They do not exclude statements that the law treats as binding or liability for misrepresentation.
If a provision is found unenforceable, the remaining provisions continue to apply where possible. An unfair term is not made fair simply by being included here.
A delay in enforcing a right does not mean that right has been waived.
These terms are governed by the law of England and Wales. Consumers retain any mandatory protections and rights to bring proceedings in their home jurisdiction that applicable law provides.
